Parent Agreement Terms and Conditions


A nursery place is not guaranteed until:

  • A Fennies registration form has been fully completed and signed;
  • You have informed Fennies in writing of any food or medicine or activity to which your child is allergic;
  • You have provided phone numbers where a Parent may be reached at all times;
  • You have provided Fennies with a list of adults who are authorized to collect the child;
  • You have provided a copy of your child’s birth certificate;
  • A start date has been agreed;
  • The sessions have been agreed with the Nursery Manager;
  • A non-refundable registration fee, as detailed on the nursery fees sheet, has been paid;
  • A deposit has been paid.

If the child does not start on the agreed start date the nursery place may be offered to another child.


A child’s sessions will be agreed with the Nursery Manager and are subject to availability and the minimum session requirement. The Nursery Manager will provide information of the nursery’s opening hours, any extended sessions, and the designated closure days.
One month’s notice is required to increase or decrease a booking pattern and will always be subject to availability and the minimum session requirement.

Fennies do not allow the swapping of sessions from one day to another. Extra sessions may be available to be booked at short notice.
A place will not be offered at the same nursery to a child within 3 months of them leaving.


Fennies may require the Parent to withdraw or remove the child from the nursery, as soon as reasonably practicable, in the event that;-

  • The child requires special medical care or attention which is not available or which is refused by the Parent;
  • Your child becomes ill during nursery hours;
  • Fennies has reasonable cause to believe that the child is or may be suffering or has suffered from any contagious disease, and there remains a danger to other children who may contract such a disease;
  • A Fennies Manager reasonably considers the child to be disruptive.

The Parent permits, and hereby authorizes, Fennies staff to arrange for the child to receive medical treatment in case of an emergency.

Medically prescribed medication will only be administered after the completion of the appropriate documentation. Non-medically prescribed medication may be administered with a Parent’s consent but may result in the child needing to be collected within one hour.

The Parent shall not be entitled to any refund of fees when a child is absent from Fennies for any reason stated in the Children paragraph unless the child is permanently removed from Fennies.


Fees are calculated on a daily basis and a nursery fees sheet will be provided to you in advance of your child starting. Fees are charged monthly in advance and are dependent upon the number of days the child will attend.

Fees are chargeable on public and bank holidays and designated closure days. The fees have been calculated taking these closure days into account. The Nursery Manager will be able to provide a list of designated closure days.

Fennies shall not be obliged to admit the child to the nursery should the Parent fail to pay prior to the start date the registration fee, the deposit, and the fees covering the start date until the end of the first month.

If the child does not attend the nursery once the place has been accepted Fennies reserve the right to enforce the payment of the first month’s fees or retain the deposit.

The deposit is not the first months fees, or the final months fees, and will be refunded in full within 6 weeks of the child leaving the nursery provided one calendar month notice has been given in writing prior to your child leaving nursery, and no additional payments or fees are outstanding on your account.

Fees received after the first of each month will incur a late payment charge as detailed on the nursery fees sheet.

The Parent must prior to the start date complete and return a Direct Debit form and shall ensure there are sufficient funds available and the Direct Debit is honoured on the first of every month, except where a Parent reasonably disputes the amount payable. If your direct debit fails or is cancelled you will incur an administrative charge which is shown on the nursery fees sheet.

Fennies understand occasionally situations arise which necessitate late arrival at the nursery for child collection. If you anticipate your arrival will be after 6.00pm you must notify the Nursery Manager. In all cases children may not be left after 6.30pm unless pre-arranged at a nursery that offers extended hours at least 24 hours in advance. Late collection will incur an additional fixed fee for each 10 minute period as shown on the nursery fee sheet.

In the event of circumstances beyond Fennies control that result in the unforeseen closure of the nursery the Parent accepts that no refund of fees will be made due to continued operational costs. Such events include, but are not limited to, ‘acts of God’, fire, acts of terrorism, inclement weather (such as snow or flooding), loss of utility supplies, heating failure, and highway or public transport difficulties.

Fennies reserve the right to review the fees at any time and will endeavour to give the Parent two months’ notice and will seek to restrict such review to once per year.


The Registration Fee is intended to cover costs incurred by Fennies prior to the child starting at the day nursery. Should a Parent cancel a place at any time prior to the start date, Fennies shall retain the registration fee and deposit to cover the cost and loss that Fennies has incurred as a result of such cancellation.

Except where the parent reasonably disputes the sum payable, Fennies shall have the right at any time, by serving a notice in writing on the Parent, to terminate the Agreement with immediate effect if the Parent fails to pay the fees within seven days of the first of the month.

Either party shall be entitled to terminate the Agreement at any time, upon giving the other one months’ written notice.

Fennies reserve the right to terminate the agreement with immediate effect if you behave in an unacceptable manner. Fennies will not tolerate any physical or verbal abuse to staff, children of other Parents within the nursery.


If your child is the subject of a court order you must inform us and provide us with a copy of this order.

If during the period of this agreement and for 6 month after the termination of this agreement you offer alternative employment to any member of our nursery staff Fennies will be entitled to be paid costs by the Parent for any costs incurred as a result such as temporary cover, recruitment and/or agency fees.

Fennies have an obligation to report any circumstances to the relevant authorities where we consider a child may be at risk of harm or neglect. This may be done without your consent and/or informing you.

The above terms and conditions are considered to be fair and reasonable. Fennies reserve the right to amend this Parent agreement with one month’s notice of any change.

Recruitment Terms and Conditions


One person can refer multiple people and receive multiple times £200 according to the terms below.

Referrals will not qualify for the scheme if Fennies have been in contact with the referred candidate at any time in the last 12 months prior to the referral being made.

Referrals must be placed within 12 months of referral.

Where more than one person introduces the candidate, we will operate a first come first served policy.

Permanent candidate placements will result in £200 for the referee on the completion of 3 months employment.

£200 will be made via bank transfer after tax is deducted.

In the event of any disputed rewards, Fennies decision will be final.
